BOARD POSITIONS:

Track Operator

Duties include:

  • The Track Operator is responsible for all aspects of track operation: scheduling and promoting races, track construction and maintenance, race day staffing, insurance, first aid coverage, public address systems, registration and scoring facilities, rainy weather protection, and track grooming and repair during a race. The Track Operator must have a thorough understanding of Bicycle Motocross and the sanctioning body rules.
  • The Track Operator is responsible for filing all required race/practice reports and compliance with the rules and regulations of USA BMX.
  • The Track Operator may delegate the work to responsible persons who will work under his/her direction.
  • The Track Operator will make regular reports to the Board of Directors
  • The Track Operator role is a voting member of the NOVA BMX Board of Directors.

President

Duties include:

  • The President shall preside at all meetings of the membership
  • By virtue of the office shall be chairperson of the Board of Directors
  • Shall be present at each Annual Meeting of the Board
  • Shall present an annual report to the Board
  • Appoint all committee chairpersons and members
  • See that all books, reports, and certificates, as required by law, are properly kept or filed
  • Be one of the officers who has signature authority over checks or drafts of the Association; and have such powers as may be reasonably construed as belonging to the Chief Executive of any Association
  • The President may delegate work to responsible persons who will work under his/her direction
  • Serve as the main point of contact with Prince William County Parks & Recreation
  • Present an update at least annually to the Prince William County Parks & Recreation and/or County Board of Supervisors
  • The President must have a thorough understanding of Bicycle Motocross and the sanctioning body rules

Vice President

Duties include:
  • In the event of the absense or inability of the President, exercise this office by becoming the Acting President of the Association with all rights, privileges and powers as if he/she had been duly elected president
  • The Vice President must have a thorough understanding of Bicycle Motocross and the sanctioning body rules

Treasurer

Duties include:

  • Named as an authorized signer on the Association’s bank account and other vendor accounts (i.e. USA BMX pre-sign with authorize.net)
  • Manage authorize.net, including clearing payment errors and refunding for race withdrawals or cancelations
  • Timely cash and check deposits
  • Execute purchases for non-routine items after Board approval
  • Timely payment of routine invoices of the track
  • Timely reimbursement of out-of-pocket expenditures by Board members, etc.
  • Process thank you letters and IRS receipts for charitable donations
  • Monthly income/expense reports; including reports for the Board
  • Bank reconciliations
  • Budget preparation and management
  • Annual tax return processing
  • Annual Virginia state corporation filings (could be handled by Secretary or President)
  • The Treasurer must have a thorough understanding of Bicycle Motocross and the sanctioning body rules

Secretary

Duties include:

  • Resposible for keeping meeting minutes of all meetings and records of the Association in appropriate books
  • File any certifcate required by any statue, federal, or state
  • Give and serve all notice to members of the Board
  • Be the the official custodian of the records
  • Present to the membership at any meeting any communication adressed to the secretary of the Association
  • Submit to the Board of Directors any communication which shall be addressed to the secretary of the Association
  • Attend to all correspondence of the Association and exercise all duties incident to the Office of Secretary
  • The Secretary must have a thorough understanding of Bicycle Motocross and the sanctioning body rules

Clerk

Duties include:

  • Responsible for practice and race day administrative needs including new rider license applications and renewals
  • Update/maintain NOVA BMX online race, practice and event schedule
  • Verify and submit rider data, race scoring, rider license applications, and other race reports to USA BMX within 72 hours after an event
  • The Clerk must have a thorough understanding of Bicycle Motocross and the sanctioning body rules
